Delete your Caelum AI account

This page explains how to delete your account for Caelum AI, the mobile app and web service provided by Mindrops UK Ltd., and what happens to your data when you do.

Before you delete

Closing your account cannot be undone. If you want to keep anything, download it first: in the Caelum dashboard, go to Account & security → Your data → Download my data. You get a zip of your account, its users, your credit history and everything read from every document, and you can choose to include the original files too.

Delete your account yourself

The account’s administrator (the person who created it) can close it at any time.

On the web

  1. Sign in at app.caelum.ai.
  2. Go to Account & security → Your data.
  3. Choose Close account.
  4. Confirm it is you: enter your password (or, if you sign in with Google or Microsoft, sign in with them again), enter your current sign-in code, and type your username.
  5. Choose Close account and delete everything.

In the mobile app

Go to Account → Privacy and follow the steps. Some steps may open the web dashboard to complete.

We send a confirmation email when the account is closed.

If you are a team member, the account belongs to its administrator. Ask them to remove you from the team, or to close the account. You can also email us (below).

Ask us to delete it

If you cannot sign in, email privacy@caelum.ai from the email address on your account, with the subject “Delete my account”. We will check the request comes from the account holder before acting on it, and reply within one month.

What is deleted

When an account is closed:

  • every document in it, and everything read from it, is deleted at once;
  • any subscription is cancelled straight away;
  • the names, email addresses and sign-in methods (passwords, two-step sign-in, Google and Microsoft sign-ins and API keys) of the account and all its users are removed;
  • its e-signature templates, branding and webhooks are deleted;
  • any unused credits are lost.

What is kept, and for how long

  • Signed documents: documents signed through Caelum, with their audit trail, are kept for six years after signing, because they are a record for everyone who signed them. Documents sent for signature but never signed are kept for up to a year.
  • Payment records: the record of credits bought and used, and invoices, are kept without your name on them, for as long as the law requires for tax and accounting purposes. Our payment provider keeps its own records of payments under its own privacy policy.
  • Backups: deleted data may remain for a short time in encrypted backups until they are overwritten.

Deleting some of your data only

You don’t have to close your account to delete documents. Open any document and use the bin: the file, everything read from it and its re-runs are deleted for good. Documents are also deleted automatically after the times set out in our privacy policy.

To remove a Google or Microsoft sign-in from your account, remove Caelum’s access at myaccount.google.com/connections or account.microsoft.com/privacy/app-access.
