Bank statements and invoices into Excel, checked to the penny

Upload a statement, an invoice or a whole bundle of scanned post. Caelum pulls out every transaction and line item, checks them against the balances and totals printed on the page, and gives you a file for Excel, Xero, QuickBooks or Sage.

Hosted in the UK. Two-step sign-in on every account. You pay for the pages read.

The Caelum dashboard: a list of documents on the left, a three-page bank statement read into rows in the middle with opening and closing balances and a tick beside every balance, and the original statement on the right.
A three-page statement, read in under a minute. Every one of its 32 printed balances is matched. Sample documents from a fictional business.

How it works

  1. A PDF of six pages waiting to be processed, with its cost of 6 credits shown before anything is charged.

    Upload

Drop in PDFs, scans or phone photos. You see what it will cost before you press Process.

  2. An invoice read into its supplier, number, date, net and VAT.

    Read

Dates, amounts, suppliers, VAT and line items come out as data, whatever the layout.

  3. A statement’s opening, money in, money out and closing balance, and the note that every row accounts for the bank’s balance, all 32 printed balances matched.

    Check

Each figure is tested against the page’s own balances and totals. Anything that does not add up is marked.

  4. The Export menu: Excel workbook, CSV files, statements only, for Xero, for QuickBooks, for Sage, and JSON.

    Export

Excel, CSV, a bank import for Xero, QuickBooks or Sage, or JSON through the API.

Statements checked against the bank’s own balances

A bank statement prints its running balance beside each line. Caelum works through it from the opening balance, row by row, so a missed or misread transaction cannot reach your books unnoticed.

  • The row is marked. When the amounts don’t reach a balance the bank printed, you see exactly where.
  • Wrong column, put right. If money in was read as money out, the balances show which way it went.
  • Gaps filled from the balances. An amount lost over a page break is worked out from the balances either side.
  • A careful second read. For a faint scan, run it again with the Precision model and pay only the difference.
The statement’s balances and rows, each row ticked where it reaches the balance the bank printed.

Invoices and receipts, line by line

Supplier and customer, invoice number, dates, net, VAT and total, every line item, and the supplier’s bank details. The original stays beside the result, so checking a figure takes one glance.

  • The lines are added up and checked against the invoice’s net
  • Discounts kept in their own columns
  • Receipts and till slips as well as invoices

Invoices and receipts

An invoice from a fictional print company read into its parts: net £488.00, VAT £97.60, total £585.60, and three line items.

Real receipts, not just tidy PDFs

A crumpled supermarket receipt photographed on a phone. Five receipts scanned together on one page. Handwritten invoices from a carbon book. An electricity bill fed into the scanner sideways. These are the documents that arrive, and Caelum reads them.

  • 23 lines from one till receipt, with VAT at each rate
  • Several receipts on one scan, each read on its own
  • Where a figure is not on the page, it says so

Try the demo with these documents

A real supermarket receipt photo beside what was read: net £112.37, VAT £6.33, total £118.70, and its lines with VAT rates.
A real receipt; card and transaction numbers blurred.

A box of scanned post, sorted into its documents

Scan a client’s month of paperwork as one PDF. Auto Split finds where each document starts and ends and names it, then you choose which ones to extract.

  • Invoices, receipts and statements told apart
  • Each part downloadable as its own PDF
  • Splitting is charged at a lower rate; extracting a part later costs only the difference
A six-page scan split into four documents: two invoices, a till receipt and a three-page bank statement, then all four extracted.

Questions

Anything else? Get in touch or call +44 330 350 3560.

What documents can Caelum read?

Bank statements, credit card statements, invoices, receipts and other financial documents, as PDFs (digital or scanned) or photos. A bundle of different documents in one file is split into its parts automatically.

How do I know the figures are right?

Every statement is checked against its own opening and closing balances, so a missed or misread transaction shows up straight away. Anything that does not add up is flagged for you to look at, and can be read again with a more careful model.

What formats can I export?

Excel, CSV and JSON, ready to import into your accounting software or spreadsheet. Developers can use the API and webhooks instead.

Where is my data kept?

In the United Kingdom, encrypted with a key for each document. Accounts are protected with two-step sign-in, and documents are deleted on the retention schedule you can see in your account.

How much does it cost?

You pay for the pages read: a monthly plan, or pay as you go with no subscription. See the pricing page for today’s prices. New accounts get free credits to try it.

Try it on your own statements

Free credits when you sign up, no card needed if you sign up with a business email. Upload a statement and see the rows, and the check, in under a minute.
